Executive inbox management is not about clearing unread counts. It is about making sure the messages that need your judgment reach you, while routine communication, follow-ups, and organization happen reliably in the background.

Problems we solve

sound familiar?

These are the operational bottlenecks we hear most from founders before they start with Doxcta.

01

Important emails get buried under noise

02

You spend hours each week on routine replies

03

Follow-ups slip through the cracks

What's included

everything in your plan

Clear scope. No arbitrary hour blocks. Every item below is part of managed delivery.

Daily inbox triage and prioritization
Draft responses in your voice
Follow-up tracking and reminders
Label and folder organization
VIP and urgent message escalation

Scope

What we actually do in your inbox

Every business day, we triage incoming mail against your priorities, draft responses in your voice, track follow-ups, and keep folders and labels organized so nothing important disappears.

We work from documented rules — VIP senders, escalation triggers, response templates, and approval thresholds — so inbox management stays consistent even when your operations lead has backup coverage.

  • Daily triage and priority sorting
  • Draft replies for review or pre-approved sending
  • Follow-up tracking on open threads
  • Label, folder, and filter organization
  • VIP and urgent message escalation
  • Weekly inbox health summary in your status report

Boundaries

What we do not touch without explicit approval

We do not send sensitive communications, legal responses, investor updates, or anything requiring your judgment without the rules you approve during onboarding.

Financial approvals, hiring decisions, contract commitments, and strategic replies stay with you. Our job is to surface them clearly — not to guess.

Voice

How we learn your communication style

During onboarding we review recent sent mail, approved templates, and tone preferences. We document phrasing patterns, sign-offs, and situations where you prefer a lighter or more formal voice.

Early drafts go through your review window until confidence is established. Over time, more responses can move to pre-approved templates for routine categories.

Security

Access, confidentiality, and escalation

We work through delegated access in Google Workspace or Microsoft 365 — not shared passwords. Permissions are scoped to what the inbox workflow requires.

Escalation rules define what reaches you immediately, what waits for your daily review, and what we handle entirely. See our security page for how access and offboarding are handled.

Week one

What the first week looks like

Week one is audit and setup: current folder structure, recurring senders, response patterns, and pain points. We configure labels, templates, and escalation rules before daily operations begin.

Most accounts move to active triage by the end of onboarding — typically within two weeks of the discovery call, depending on complexity.

Platforms

Email platforms we support

We support Google Workspace and Microsoft 365 in your existing environment. We do not require you to migrate tools or adopt a new inbox product.

  • Google Workspace (Gmail)
  • Microsoft 365 (Outlook)

Comparison

Inbox services vs AI tools vs task-based VAs

AI email tools are strong at sorting and summarizing. They are weaker at context, relationships, and knowing when a polite draft is wrong for the situation.

Task-based virtual assistants can handle mail, but continuity depends on one person remembering your preferences. Doxcta delivers inbox management as a documented function with backup coverage and weekly reporting.

What we handle

  • Triage, draft, organize, and follow up on routine mail
  • Apply your approved templates and voice guidelines
  • Escalate decisions, sensitive threads, and VIP messages
  • Maintain inbox structure and weekly reporting

What stays with you

  • Commit on your behalf without approved rules
  • Handle legal, financial, or strategic decisions alone
  • Replace your judgment on high-stakes communication
